AeroSpec, Inc. is currently seeking an Admin Associate to join our team.
Your day-to-day includes working primarily with our Operations & Logistics teams to ensure AeroSpec’s supply chain workflow is moving forward. Throughout the day, you will communicate with co-workers, suppliers, and vendors via phone and email on topics including placing orders, following up on creating work orders, processing documents, checking on placed orders, answering questions and other workflow related tasks.
A portion of this role will include data entry and importing of data into our ERP/MRP systems. In addition, you will be responsible for running and updating reports, assisting our Procurement Specialists with Purchase Orders, and working with our Operations Manager on outlining logistics of current and future projects. Finally, you will assist our Shipping and Receiving Clerk by receiving components and organizing the components into assembly kits for our manufacturing employees.
This entry-level position requires little previous experience and is a great steppingstone for other positions within the department and the company including Buyer, Shipping & Receiving Associates and Expeditor.

Essential Duties
- Work with our Operations Department to create and process Work Orders for our Manufacturing shop including printing and folding CAD drawings, scanning barcodes and other computer work.
- Maintain and run various reports for the Operations Team
- Compile scheduling and other data from various systems
- Act as a liaison between suppliers and involved departments to resolve procurement related issues
- Assist the Operations Manager with completing purchase requests
- Assist the Operations Manager with vendor management, including scheduling meetings
- Float between various Operatins and Logistics job functions including assisting in receiving, kitting, scheduling as well as other tasks.
- 2+ years experience in office administration a plus
- Demonstrated experience organizing tasks, and workflow
- Proficient in Microsoft 365 including Excel, Outlook & Teams
- ERP/MRP software experience a plus
